Preparing for your 2-Day Install Workshop 

Advance Preparation

We pray in advance for every Install Workshop. To make the most of your time, please gather and upload the following information by the due date listed in the details section. Timely submission is vital for your Install Team’s success.

Required Advance Work
Upload all items to the Advance Work Folder (linked above).

  • Budget & Giving – At least 3 years of records (totals and subtotals are fine). Excel only—no PDFs.

  • Attendance – At least 3 years with breakdowns (service, age, rooms, etc.). Excel only—no PDFs.

  • Capacity – Numbers for auditorium/chapel seating, parking, children’s classrooms, adult classrooms, etc.

  • Calendar – Current church calendar plus the previous year’s, if available.

  • Demographics – Both internal (church) and external (community), if available.

  • Mission, Vision, Values – Current documentation plus any previous versions.

  • Strategic Planning – Information and data from past planning efforts (within the last 10 years).

  • Volunteers – How many are serving, where, and how often.

  • Small Groups – Number of groups and total participants.

  • Org Charts & Roles – Current and past organizational charts, with job descriptions if available.

  • Leader Assessments – Personality or strengths information for the Senior Pastor, Executive/Associate Pastor, and other senior leaders (e.g., DISC, Myers-Briggs, Spiritual Gifts, StrengthsFinder, Enneagram, Strengths/Weaknesses).

Additional Forms

  • Vision Planning Tool – The Lead Pastor should complete this in advance (others may also contribute if desired).

  • Advance Call Questions – This will serve as the agenda for your pre-Install Workshop call which will take place within 2 weeks of the Workshop. This meeting includes the Senior Pastor, Executive Pastor and/or your Activator. Your IGP Coordinator will reach out to schedule this call.

Pro Tip: Assign one point person to manage both the document uploads and the form submissions. A single coordinator helps keep everything organized and ensures nothing gets overlooked.

Advance Call & Leadership Connection

Advance Call
Before your Install Workshop, your IC Lead Facilitator will host an Advance Call with the Senior Pastor and Executive Pastor. This call aligns expectations and uses the Advance Call Questions (completed ahead of time) as the agenda.

Leadership Connection (Dinner or Breakfast)
Your Lead Facilitator and Coach also like to meet with the Senior Pastor and Executive Pastor—typically over dinner the night before or breakfast the morning of the Workshop. This gathering is a chance to connect personally and build trust before the Install begins.

Scheduling
Your IGP Coordinator will work directly with your Church Admin to schedule both the Advance Call and the dinner or breakfast gathering.

Preparing Your Team

Your Install Team will get the most out of the Workshop if they arrive prepared. We’ve created a few resources to help them get ready:

Pro Tip: Send the resources and emails at least 2 weeks before the Workshop. Giving your team extra time to read and reflect helps everyone show up ready to engage.

Choosing Your Install Team

The right team makes all the difference. Gather a mix of staff, lay leaders, elders, and trusted volunteers. Aim for both strategic thinkers and emerging leaders, along with people who know your church’s history and culture.

Group Size: 8–12 is ideal. Keep it under 12 to ensure everyone can fully participate in your Install Workshop.

Set Up & Supplies

Room Set Up

Choosing the right room sets the tone for a productive Install Workshop. The space should be cool, comfortable, and free from distractions, with plenty of space for posting and reviewing sheets. Natural light is a big plus—it keeps energy up and helps the room feel open and welcoming.

Space for Sheets

  • Smooth wall surfaces are required for posting easel sheets (giant Post-its).

  • Provide a double-wide (4x6) whiteboard or a sturdy hard-backed easel stand.

Room Layout

  • Arrange tables in a “U” shape to seat up to 12 people. This setup allows your team to face each other and the IC Lead Facilitator.

  • Provide comfortable chairs for all team members.

  • Place a small table and stool at the front for the IC Lead Facilitator.

  • Set a table and chairs in the back for the IC Coach and other IC team members.

  • Provide a snack & drinks table at the back of the room to keep the team refreshed without interrupting the flow.

Pro Tip: A room that feels “set apart” from daily activity helps your team stay focused. Avoid offices or spaces with frequent interruptions—neutral ground works best.

Supplies

Custom Easel Sheets
We’ll ship custom pre-printed easel sheets directly to your church. These will arrive 2–3 days before the Install Workshop, addressed to your Church Admin. Please open the box and place the sheets in the room at least 30 minutes before the workshop begins.

Additional Supplies to Provide

  • Easel Pads – Two Post-it Brand Self-Stick Easel Pads with Gridlines (25x30 inches). These must have both gridlines and a sticky back. They are available at most office supply stores or on Amazon.

  • Nameplates – Create and print a nameplate for each team member attending. Include the person’s name and role. We’ve provided a template for you to use, but you’re welcome to create your own.

Pro Tip: Prepare and set out all supplies the day before the workshop. A ready-to-go room saves stress and helps your Install Team start strong.

Post-Install Workshop

What Comes Next

The Install Workshop is just the beginning. After your 2-day experience, your Coach will walk alongside you to ensure momentum continues and your team is equipped with the tools you need.

Coaching & Meetings

  • During the Install Workshop, your Coach will set up regular meetings with your Activator.

  • Together, they will also prepare for your Activation Kickoff (see below).

Activation Guide

  • All easel sheets from your Workshop are recorded in a digital Activation Guide.

  • You’ll receive both a PDF and an editable PowerPoint version.

  • Your Coach will email the completed Activation Guide to your Activator within 2 weeks of your Install Workshop.

Activation Kickoff

  • The Activation Kickoff takes place 6–8 weeks after the Install Workshop.

  • Your Coach will work with your Lead Pastor and Activator during the Workshop to schedule this meeting.

Pro Tip: Schedule your Activation Kickoff date during the Install Workshop—before schedules fill up. Securing the time early ensures your team keeps momentum strong.
